Inviting your team
Invite supervisees, supervisors, HR admins, and executives, understand who can invite whom, and which invitations require two-factor authentication.

What you’ll need
- For HR admin invites: two-factor authentication enabled
This guide covers inviting people into your organization. Who you can invite depends on your role, and one invitation type requires a two-factor code.
Who can invite whom
- Supervisors can invite supervisees to their own caseload.
- HR admins can invite any role: supervisees, supervisors, HR admins, and executives.
Both roles work from the same invitation model: AuditHalo emails a secure link, the recipient accepts and sets a password, and they join the organization.
Invite a supervisee
A supervisor invites from the roster; an HR admin can invite from the team page.
- Go to
/dashboard/roster(supervisor) or/dashboard/team(HR admin). - Select Invite a supervisee.
- Enter their email, and their name if you have it.
- Optionally assign the state rule and obligation start date now, so tracking begins on acceptance.
- Send the invitation.
Invite staff roles (HR admin)
From the team page at /dashboard/team, an HR admin can invite the other roles.
- Go to
/dashboard/team. - Select Invite Supervisor, Invite HR Admin, or Invite Executive.
- Enter the person's email and name.
- Send the invitation.

Warning: Inviting an HR admin requires a two-factor code, since HR admins have org-wide write access. Set up 2FA first. See Securing your account with two-factor authentication.
Note: Executive seats are limited per organization. Executives are read-only oversight accounts; they cannot change anything or see PHI.
What happens on acceptance
When someone accepts, AuditHalo creates their account and membership in one step. If you attached a rule and supervisor to a supervisee invitation, those are applied on acceptance. The inviter is notified.
Invitations can be resent (new link, extended expiry) or canceled from the roster or team page.
Inviting many people at once
For a large onboarding, import from a CSV instead of inviting individually. See Bulk CSV import.
What's next
- Work your roster once people join. See Managing your roster.
- Onboard a whole team from a spreadsheet. See Bulk CSV import.
