Scheduling supervision sessions
Schedule one-off and recurring supervision sessions with meeting links, handle conflicts, and cancel, reschedule, or mark a no-show.

What you’ll need
- A connected calendar (Microsoft or Google) for video links
- A supervisee on your roster
This guide shows how to schedule supervision from inside AuditHalo, as a single session or a recurring series. Scheduling creates the meeting, adds the video link, and writes the event to both calendars, so the session is ready to sign afterward.
Supervisors schedule their own sessions. HR admins can schedule on behalf of a supervisor.
Note: For Teams or Google Meet links, connect a calendar first. See Connecting your calendar. You can still schedule in-person sessions without a connected calendar.
Schedule a single session
- From the supervisee detail page or the calendar at
/dashboard/calendar, start a new session. - Select Schedule a session.
- Choose the supervisee, date, start time, and duration.
- Choose the meeting provider: Teams, Google Meet, or in person.
- For a group session, add the additional supervisees.
- Confirm to schedule.

Handle a conflict
If the new session overlaps an existing event on the calendar, AuditHalo warns you before it books.
- Review the conflict.
- Adjust the time, or confirm anyway if the overlap is intentional.
Schedule a recurring series
For standing supervision, create a series instead of booking each week by hand.
- Start a new session and choose the recurring option.
- Set the frequency: weekly, biweekly, every three weeks, or monthly.
- Set when the series ends: after a number of sessions, on a date, or never.
- Confirm.

Tip: A recurring series keeps reminders and sign prompts flowing automatically, so sessions do not slip. Reschedule or cancel individual occurrences without touching the rest of the series.
Cancel, reschedule, or mark a no-show
From a scheduled session you can:
- Cancel the session, and optionally the rest of a recurring series. The calendar events are removed and attendees are notified.
- Reschedule to a new date, time, or duration. The calendar events update and attendees are notified.
- Mark a no-show if the session did not happen. Supervisors, HR admins, and the supervisee can mark a no-show.
Note: Reminders go out 1 hour and 15 minutes before a session. If a session's end time passes without a signature, AuditHalo sends the supervisor a sign reminder.
